Candidates must have a high school diploma and five or more years of related experience. Working knowledge of Microsoft Office, excellent writing, phone and communication skills are required. Experience with proofing, editing, and formatting documents is a must. Typical responsibilities include:

  • Maintain local and corporate office administration policies and procedures
  • Implement and maintain office administration projects
  • Identify compliance of policies and procedures by office personnel
  • Maintain local employee personnel files in a manner consistent with Corporate guidelines
  • Schedule interviews for all Southern area offices and assist new hires in the onboarding process
  • Maintain local legal, professional, and commercial insurance files
  • Maintain and recommend budgets for indirect expenses/capital expenditures
  • Review and approve office supply purchase orders in accordance with standard purchasing procedures
  • Maintain all office furniture and equipment with the exception of computer related equipment
  • Maintain office inventory list/database
  • Oversee record retention procedures with regards to file audits
  • Oversee the completion of tasks to maintain the physical facility and local Wade Trim vehicles
  • Assist project managers with contract reviews
  • Organize office functions (i.e., client entertainment, technical functions, etc.)
  • Supervise the administrative support staff in Tampa
  • Provide OA administrative assistance to all Southern Region offices
  • Oversee office facility issues, including expansions and relocations of Southern area offices
  • Monitor office alarm system and employee pass cards
  • Assist Corporate groups as needed
  • Research special projects as assigned
  • Maintain a safe working environment
