HR COORDINATOR/OFFICE ADMINISTRATOR

Position Description:


We are looking for a HR Coordinator/Office Administrator to join our Administration Team in our Tampa office. Candidates must have a high school diploma (Bachelor's degree preferred) and five or more years of related experience. This position requires very strong leadership, communication (writing and verbal) and organizational skills to accommodate multiple tasks simultaneously. Working knowledge of Microsoft Office 365 is required as is experience with proofing, editing, and formatting documents. Typical responsibilities include:


  • Assist with the recruiting process (complete requisitions, review resumes, post jobs, contact candidates, schedule interviews, extend offers, etc.)
  • Complete initial onboarding activities for new employees (welcome staff, manage documents, processes and timelines, coordinate responsibilities for the supervisor and advocate roles, etc.)
  • Fulfill onboarding activities throughout the new hire's first 90 days (collect and organize documents, conduct employee check-ins, initiate reviews, etc.)
  • Provide administrative support to managers, employees and visitors consistent with corporate policies and brand
  • Oversee the maintenance of the physical facility and local Wade Trim vehicles
  • Organize office functions (i.e., client entertainment, technical functions, employee activities, etc.)
  • Coordinate with the Brand and Safety Managers to ensure all offices maintain safety, functionality and image standards
  • Interact with staff and be a culture steward for Wade Trim
  • Maintain and recommend budgets for indirect expenses/capital expenditures
  • Maintain local and corporate policies and procedures
  • Maintain local legal, professional, and commercial insurance files
  • Maintain local employee personnel files in a manner consistent with corporate guidelines
  • Review and approve vendor invoices relating to the operations of multiple offices
  • Supervise the administrative staff for the southern region
  • Assist with projects as needed
  • Maintain a safe working environment


Education:


  • High School Diploma
  • Bachelor's Degree preferred


Skills/Experience:


  • 5+ years of related experience required
  • Working knowledge of Microsoft 365 required
  • Experience with proofing, editing and formatting documents.
